Bid Invitation: Food and Supplies

Dear Vendor:

SeniorAge Area Agency on Aging is seeking bids from interested institutional food supply companies for providing food and non-food supplies to designated senior citizen centers located in a 17-county area in Southwest Missouri. Orders will be placed directly by the Lead Cooks to the Food Service Distributor. Contract period will begin July 1, 2018.

Enclosed documents include senior center information, general and specific bid conditions, price quotation sheet, and a suspension and debarment certification.   If you wish to submit a bid, please return an original, executed verification of intent form which is attachment #5, no later than 4:00 p.m. on April 5, 2018.  When you submit your formal bid, please provide an original, completed bid packet with three copies and return them to the Accounting Department of SeniorAge Area Agency on Aging by Friday, May 25, 2018 at 4:00 PM Central Standard Time.  

The agency reserves the right to accept or reject any or all proposals.   Questions should be sent to grocerybid@senioragemo.org.   There will be a pre-bid conference on April 12, 2018, at 10:00 at the SeniorAge office located at 1735 South Fort Ave., Springfield, MO 65807.  All potential bidders are encouraged to attend this conference and bring a copy of the RFP.  Copies of the RFP will not be provided at this meeting.   Attendance is not required to submit a proposal.  Questions should be sent to grocerybid@senioragemo.org  no later than 4 p.m. April 5, 2018, for a definite answer to be provided at the Pre-Bid conference.  Amendments to this RFP, and other pertinent information related to this request, will be posted on the home page of the SeniorAge website.  An email will be sent to all persons who requested a copy of the RFP to notify them of changes to the RFP.

Commonly Asked Questions and Answers

 

Q.  We just received the bid packet today 3/30/2018 and noticed that the "Verification of Intent to Bid form" is due back by April 5th. I'm concerned that if there is a delay in mail service that this could be a issue. This could be pushing it in trying to get there on time.  

Response: Bid packets and the posting of the bid opportunity went out later than expected.  As such, the date for SeniorAge to receive bidders' Verification of Intent to Bid has been extended to April 11, 2018.  As long as the Verification of Intent to Bid is postmarked on or before April 11, 2018, the verification will be accepted as timely.  Bidders who request bid packets after April 11, 2018, will be given a reasonable time after such request to return the Verification of Intent to Bid.  


 Q.  I noticed there two different dates that the bid is due. Cover letter says May 25, 2018 and on page 3 of 8, section 1.14 it says May 15, 2018. Which is correct? 

Response: Responsive bids must be received by SeniorAge no later than 4 p.m. on May 25, 2018, at its office located at 1735 South Fort Ave., Springfield, MO 65807. 


In response to a question regarding the quantities of grocery and non-grocery items used annually by SeniorAge, an updated Price Quotation Sheet with the quantities of grocery and non-grocery items used annually by SeniorAge is available.  The updated Price Quotation Sheet must be submitted with all responses to the SeniorAge grocery and non-grocery RFP.  If you have already submitted your Verification of Intent to Bid, you have received a copy of the updated Price Quotation Sheet by email.  If you have not already submitted your Verification of Intent to Bid, please request a copy of the updated Price Quotation Sheet by sending your request to grocerybid@senioragemo.org.
